Survey Response

- Completion Flexibility: Participants have the ability to leave and return later to complete the survey.

Pre-launch Set Up Tasks
- Load Participant List: WESS gives detailed instructions on the type of participant file to create and allows you to easily select and upload the file from your hard drive.
- Verification of Participant Email: WESS evaluates every email for proper syntax, tests to see if the email is a valid address, and reports how many addresses did not verify. You can update or edit participants' name and email prior to survey launch.
- Personalized Invitation and Reminder Email: Enter whom the invitation email is from, the return email address, the subject, text inviting them to take the survey and incentives/requirements for completing the survey. You also can select the number of days between the launch and reminders.
- Opt-Out Option: You have the option to include an "Opt-Out" link in your email. By enabling this feature the invitation email will contain a link which allows participants to be excluded from the survey. You will be notified by email each time a participant opts-out.
- Institution Specific Questions: You may add up to ten questions of your own using one of our answer keys, creating your own key, or asking an open-ended question.
- Invitation Email: On the survey launch date, assuming all setup tasks are complete, WESS automatically sends each participant the invitation email with a protected link to the survey.
- 2 Reminder Emails and 1 Last Chance Email: You provide the email text and select the number of days between the survey launch and sending the reminder emails and last chance email. WESS automatically sends the emails at these intervals.

Flexible Survey Dates
- WESS allows you to change your launch date up until your launch lock date. After your launch lock date has passed, you must contact us if you need to change your launch date.
- You may change your survey end date at any time.
- By default, the launch date is set 3 weeks from the day the order is placed. You are welcome to change it to better meet your scheduling needs.

Post Launch Options
- Status: After your survey has launched, you can monitor your response rate, number of emails that failed verification or delivery, and how many people have "opted-out" of the survey.
- Reporting: You can view detailed interactive reports as soon as 10 participants have responded. You can also easily send reporting links to those who need access.
- Features: Edit, add to, or contact participants, choose a random participant, send an additional reminder, edit reminders that have not yet gone out, and change your end date.
- View: The survey is available in three different formats. You can also view the welcome/consent page, the completed page, the invitation and reminder text and institution specific questions.

Participant Management
- Filter: WESS allows you to sort the participant list by response status. (For example, you may want to view a list of participants who have not responded to the survey.)
- Monitor: WESS provides a listing of all participants and identifies their response status. (not responded, responded, opted-out)
- Add/Edit Participants: You may update a participant's email address or name, or add a single participant at any time.
- Choose Random Participant: Based on select criteria, choose a random participant. This is often used to award prizes or incentives.

Communicating with Participants
- Send an additional email to participants who have or have not responded to the survey, a single participant, or all participants.
- Use this function to thank participants for their time or to announce winners.
- You have the option to include their survey link or not.

Real-time Reporting
- View Reports : WESS offers real-time analysis with the following Interactive Reports:
- Survey Snapshot - Results of the survey in the order they appear on the survey.
- Factors - Means, Frequencies, and Categorical/Scaled Questions by Factor.
- Scaled Questions - All questions from the assessment that were answered using a response scale (i.e. not at all – moderately – extremely).
- Categorical Questions - View frequencies results for population segments including demographics (i.e. gender, race, etc).
- Cross-Tabs - Generate a report using any two questions (Scaled, Categorical, ISQ).
Optional Reports:
- Institution Specific Questions (if ordered) - Questions written by your institution.
- Open-Ended Questions - Respondents' answers to text-based questions.
- Population Code (if ordered)- Response Counts, Scaled Questions, Factors, ISQs and Categorical Questions by Population Code.
- Unit Level (if ordered)- Response Counts, Scaled Questions, Factors, ISQs and Categorical Questions by Unit Level (includes Individual Unit Level reports if applicable).
